JOB DESCRIPTION: Community Administrator & Communications Specialist

Two Rivers Unitarian Universalist (TRUU) | Carbondale, CO

Status: Part-time Independent Contractor

Hours: 15 hours per week (Primary focus: Tuesday–Friday)

Compensation: $22.00 – $25.00 per hour (commensurate with experience)

Reports to: Minister and/or Board President

The Transition: TRUU is currently in a period of leadership transition. As such, this role is the vital “logistical hub” of our congregation, ensuring institutional continuity and providing a professional, warm “front door” for members, visitors, and the wider community.

POSITION OVERVIEW

The Community Administrator & Communications Specialist oversees TRUU’s administrative, digital, and creative identity. This combined role ensures cohesive branding and professional presentation across all publications and media while serving as the relational center for committee coordination and program scheduling.

Note: This position focuses on weekday operations and preparation. Live Sunday morning technical production (Zoom hosting, livestreaming, soundboard operation) and Music Direction are handled by separate staff/contractors.

CORE RESPONSIBILITIES

1. Communications & Digital Media

  • Newsletter (MailPoet): Design and deploy the weekly TRUU newsletter and special-event email blasts.
  • Website Management: Maintain and update the WordPress website (Divi theme), ensuring the “Events Calendar” and “Watch Page” are current.
  • YouTube Account Management: Create weekly livestreams at least one month in advance, using service descriptions (if available).  Manage the WireCast (or other livestream) subscription and keep the software current, being able to help troubleshoot technical glitches.
  • Graphic Design: Create weekly and special-event graphics for digital calendars, social media, and print using tools like Canva, Word Swag, or Adobe Suite.
  • Social Media & PR: Manage TRUU’s presence on Facebook, Instagram, and Bluesky. Write and distribute press releases to local outlets (Sopris Sun, KDNK, Aspen Times) to ensure positive community coverage.

2. Program & Worship Coordination

  • Master Scheduling: Maintain the Google Doc tracking all services, linking to monthly themes, OOS scripts, and livestream URLs.
  • Speaker & Musician Liaison: Coordinate with recurring guest speakers and musicians (2 months in advance); send instructions, collect bios, and process 1099 payments.
  • Volunteer Management: Oversee Sunday volunteer sign-ups (greeters, coffee hosts) and ensure automated reminders are functioning.
  • Document Prep: Format and edit the weekly Order of Service (OOS), Keynote Presentations, and service scripts. Produce final PDFs for printing and digital distribution.

3. Administrative Oversight

  • Meeting Support: Attend/record Worship Associate and Board meetings via Zoom; provide transcribed notes for the Secretary using tools like MacWhisper.
  • Office Operations: Monitor the TRUU office email and Google Voice; respond to inquiries or route messages appropriately.
  • Vendor & Nonprofit Status: Collaborate with Bookkeeper and Treasurer to maintain TRUU’s nonprofit status, manage vendor accounts, procure w-9 forms from contractors, and coordinate room reservations at the Third Street Center.
  • Google Workspace Administration: Maintain TRUU’s nonprofit Google Workspace including email addresses, Google Docs Spaces and Permissions, and Google Business Listing
  • Zoom Administration: Maintain TRUU’s Zoom account for meetings and livestreams

QUALIFICATIONS & SKILLS

  • Technical Proficiency: Proficiency in Google Workspace, MailPoet, WordPress (Divi), and Zoom. Experience with Adobe Suite, Keynote, or Mac OS is a plus.
  • Organizational Mastery: Ability to manage complex schedules and meet firm weekly deadlines (e.g., Friday newsletter deployment).
  • Communication Style: Excellent written and verbal skills; warm, professional interpersonal style grounded in UU values.
  • Independence: Capacity for high-level independent work and proactive problem-solving during a leadership transition.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

  • Standard Office Tasks: Ability to operate a computer, printer, and telephone for extended periods.
  • Mobility: Occasional light lifting (up to 20 lbs) for office supplies or moving small equipment.
  • Setting: This is a hybrid role. While much work can be done remotely, the candidate must be able to visit the TRUU office/Third Street Center in Carbondale for printing, mail collection, and equipment management as needed.
